Vacancy - Events and Membership Manager



Causeway is hiring - we're looking for an experienced Events and Membership Manager to join the Causeway team. The job would be on an initial 6-12 month contract (with a 2 month probation period) with a possibility of extension thereafter, funding dependent.

Location: Edinburgh or Glasgow depending on candidate location, to work from an office of a member of the Management Board 

Reporting to: Member of Management Board 

Role purpose: Events & membership management, administrative, logistical support for a not-for-project management board led business network.

Salary: TBC subject to government funding. Day rate of £100 with performance-based commission. 

This is a full time role (38 hours/ week) with some evening and weekend working likely to be required. 


Main responsibilities 

  • Design events that reflect the interests and requirements of Causeway members
  • Organise calendar of events primarily based in Scotland but on occasions in Republic of Ireland and N Ireland.
  • Management, logistics, and execution of events with support of the Management Board
  • Establish and manage agreed budget for events including
  • Management of event suppliers, as required, using budgetary control for individual events
  • Identify and sell Sponsorship opportunities around key events
  • Prepare and upload event information onto Causeway website before and after event
  • Collect feedback from attendees, manage post-event surveys, and compile data on events to inform future planning efforts
  • Gather and upload presentations and photos following events
  • Maintain detailed event diary internally, and through website and social channels
  • Follow up with non-Causeway event attendees to encourage them to join as members

Membership Management 

  • Interact with membership base and coordinates new membership enquiries
  • Actively seeks new members in line with CW strategy
  • Manage and control membership surveys and demographic reporting
  • Follow up on late membership payments and any invoice issues
  • Manage membership enquiry email
  • BITA joint membership management and promotion
  • Seek out other partnership opportunities to enhance our membership offering
  • Manage member journey

Administration

  • First point of contact for all government, general public enquiries & ownership of same
  • Preparation of Agenda for all management board meetings and other scheduled meetings
  • Prepare minutes of all meetings of all management board meetings, and others as required.
  • Drafting documents/ emails / letters for Directors when required
  • Management of Google Drive where all ongoing activity should be recorded for easy reference by all
  • Provide information for funding progress reports
  • Monitor payment of suppliers and partners in coordination with the Treasurer
  • Monitor Stripe account and highlight any issues or anomalies
  • Advise directors of any issues with website
  • Provide information on income and expenditure to assist with annual accounts and VAT Return etc.
  • Contribute to CW Twitter Account and LinkedIn Group & Company pages

Skills & Experience 

  • Experience in event planning and delivery
  • Experience of growing and retaining memberships of a networking organisation
  • Experience of providing high-quality administrative support to senior executives within a committee-led environment
  • Self-starter with commercial focus
  • Excellent organisational skills and IT literacy within MS Office (and desirable WordPress or other Content Management System)
  • Strong communication skills
  • Strong initiative to identify opportunities to drive the organisation forward and raise its profile across Ireland Scotland and Northern Ireland
  • Ability to build relationships between key stakeholders within and outside the Network
